Why AI Needs to Be in Your Business Toolkit Today

by | Jul 28, 2025 | AI Blogging, Material Design

Over the past year, I’ve had a front-row seat to how AI is reshaping the way we work—both in my own business and in the systems I build for clients. And the message is clear: AI isn’t a trend. It’s infrastructure. Those who treat it like a passing fad risk falling behind, while those who embrace it intelligently are already gaining an edge.

This post isn’t about shiny tools or gimmicks. It’s about practical, business-focused adoption. Because if you’re not already using AI to support your daily workflows, you’re leaving efficiency—and opportunity—on the table.

The Shift I’ve Seen First-Hand

I work with a wide range of businesses, from service providers and ecommerce stores to SMEs relying heavily on WordPress and WooCommerce. In almost every case, the underlying challenge is the same: too many manual tasks, not enough strategic time.

Here’s the pattern I keep seeing:

  • Email workflows not being followed up on
  • Website content sitting half-finished in draft
  • Admin processes like order processing, onboarding, or reporting clogging up productivity
  • Teams burnt out from busywork, not creating growth

AI changes this—if you let it.

What I Do with AI (And You Should Too)

I don’t just experiment with AI tools; I embed them into daily operations. Whether I’m building automations, developing smarter websites, or guiding clients through strategy calls, AI has become part of how I think, plan and execute.

Here’s how I recommend you do the same:

1. Audit Your Time

Start simple. Track a week’s worth of tasks—what’s taking up your day? Anything repetitive, predictable, or admin-heavy should be a candidate for automation or AI support.

For example, I used to spend hours writing technical documentation for projects. Now, I rough out the structure and have AI generate the first draft—then I refine. The net time saved? Massive. The quality? Still client-ready.

2. Get Fluent in Prompting

AI isn’t magic. You get out what you put in. Most people give vague, lazy instructions and get generic results. You’ve got to brief AI like you’d brief a contractor—with clear roles, context, outcomes, and format expectations.

I often show clients how to structure prompts for emails, blog outlines, product descriptions, even GDPR policies. Once they get it, their confidence (and output quality) skyrockets.

3. Build AI into Habits

Here’s where most people fail: they dabble. They open ChatGPT once a week and forget it’s there.

I use AI like a daily assistant:

  • Drafting comms before client calls
  • Summarising Zoom meetings into ClickUp tasks
  • Creating headline variations for client websites
  • Speeding up keyword research for SEO planning

The key is to embed AI into your normal workflows—not treat it as a separate thing.

Moving from Executor to Director

This part is important. AI can do a lot—but it still needs direction. I’ve found the real value isn’t in doing more, it’s in doing less of the wrong stuff.

When you delegate the groundwork to AI, you create space to:

  • Think about long-term positioning
  • Improve client experience
  • Build better systems
  • Create content that converts

Clients often tell me how relieved they are when I simplify the process for them—whether it’s handling web builds, optimising email sequences, or turning raw data into insights. That’s because I’m no longer stuck in the weeds. And neither should you be.

Make AI Work for You

If you run a business—especially in a service-based or ecommerce model—you don’t need to become a tech expert to benefit from AI. But you do need a plan.

Here’s how to start:

  • Identify 2–3 high-effort, low-impact tasks in your week
  • Choose an AI tool that fits (ChatGPT, Claude, Notion AI, etc.)
  • Use it daily for a week—refine how you instruct it
  • Build automation or templates around your best wins
  • Repeat

And if you’re not sure what’s possible? That’s where I come in.
